A success story: Implementation of Quionia in the Teatros del Canal de Madrid

Quionia Information System, is the asset management tool developed by Simbioe Facility Management that is being adopted by numerous properties, maintainers and managers. In the last year they have joined the
tool over 600 assets.

Quionia Information System was awarded by Actualidad Económica magazine as one of the 100 best ideas of 2019 and in 2021 it was the tool that allowed ISP Schools to develop the document management project that was awarded as the IFMA Best Practice.
In this edition of the magazine, we want to present a new case of success in the implementation of Quionia in the two buildings that the canal theaters have in Madrid and in San Lorenzo del Escorial. These are two emblematic and well-known buildings, which in addition to having spectacular architecture, offer very particular elements that require a large dose of imagination for their facility managers.
After conducting a market study, the theater management company selected Quionia as the appropriate tool for several reasons:

• Friendly, intuitive and easy to use tool.
• Can be used with any type of portable equipment. Therefore, it eliminates 100% the use of paper and allows a technician or operator to consult a drawing or a document anywhere.
• It has the entire database of documentary requirements of a building according to the regulations and location of each building and Simbioe is also in charge of keeping it up to date and notifying its clients when there is a change that affects them.
• It has maintenance ranges according to regulations and according to the rules of good practice in the sector, which are also periodically updated by Simbioe.
• It has a database with the requirements that must be met in the context of the coordination of business activities, such as occupational risk prevention requirements and others.
• Includes all the necessary modules for management: recurring and fixed document management, services, CMMS, coordination of business activities, space reservations and much more.
• It has indicators and reports, which are also easily exportable and adaptable.
• It is a tool developed by Simbioe, a Spanish company that has empathy towards the needs of its customers embedded in its DNA. That is why the tool is constantly being improved thanks to requests and suggestions from customers and potential customers.

The implementation of Quionia for this client has included the following points:
• Planimetry of the buildings and graphic location of each zone and each element.
• List of documents required for each building with an indicator that makes it easy to know whether each of them is available or not.
• Planning of necessary and recurring documents, such as inspections, reviews or certificates.
• List of contracts and resources, with their documents, conditions and task assignments related to planning.
• The CMMS module that can be used by building operators and operators, browsing plans and which in turn feeds the document manager.

The implementation of Quionia for this client has included the following points:

The digitization of the maintenance execution record has been a complete success thanks to the team of operators and managers who have had a positive and constructive attitude and have even allowed Simbioe to incorporate new functionalities and options that facilitate data recording and management.
The fact of having a QR code for each piece of equipment, which is obtained from the Quionia inventory, allows operators to generate incidents in an area or element, see the maintenance to be carried out or consult data or
documents very easily.
The results are being unbeatable, as can be seen in the tables of document management indicators, since there is 100% compliance in obtaining documentation and in the execution of maintenance tasks.
Simbioe’s activity consists of carrying out service projects, helping its clients to tender them and controlling the quality of their execution, both at a physical level through audits, and at a documentary level thanks to Quionia.
